Updating Your Rates for Next Year

Overview

Follow these instructions for the rate rollover when next year's rates are effective.  For example, if next year's rates are in effect on January 1st, you will want to change the rate default (*STANDARD) upon closing December 31st.

How To

Step 1:  Extend Calendar

1. Located from the KampSight Main Menu, choose Option 60 KampSight Setup, then choose option 12 "Rate Calendar".

2. Press F6=Extend calendar.

3. Type in the date you are extending your calendar out to.

4. Type the predominate rate group for your calendar.  Press Enter.
    

Fields:

Rate Group

Enter a valid rate group.  This code is used to set the season for all days between the prior calendar end date and the new extend to date, unless overridden by one of the optional fields below.

Optional rate group by days of the week

Enter a season code to override the base extension season entered above.  This code will only override the day of the week indicated.  For example, the Friday and Saturday optional codes default to WK, so all Fridays and Saturdays in the extension time would be created with the WK weekend season instead of the base season code.

Step 2:  Enter Rate Groups into Calendar

1. Located from the KampSight Main Menu, choose Option 60 KampSight Setup, then choose option 12 Rate Calendar.  

2. The initial display will show the current month.  Use the Page Up and Page Down keys to see last month or next month.  For each day of the month type the rate group associated to the date and indicate whether the campground is open or closed (Y=Open, N=Closed).  The rate groups that exist for your campground are listed below the calendar.  See setting up Rate Groups.  Note:  You will need to put rate groups on Holiday or Special Events, as these will not autofill.
    

Step 3:  Build the 2009 Rate Plan

1. From the set up menu (Main menu, 60), select option 14 to update rates.

2. Press F10=Rate Plans.

3. Create a new plan.  For this example, we will use 2009 RATES; but you can use any name as long as it is not in use.  Type a 1 in the Opt field and type the name of the new rate plan.
    

4. Press Enter.  Define the Start/end dates and other criteria you would like for the plan.  If you want a reservation to get the new rate, set auto assign to Y.  Leave remainder as default.

5. Press Enter to create the new plan.
    

6. Type "1" (Select or add) next to the 2009 RATES Rate plan.  Press Enter.
    

7. Notice you are now working in the 2009 Rate plan.  Change the detailed rates here, by using the 2=Change option.  See Site Rates Program for full instructions.

Step 8:  Extend the calendar so Realtime Vault Reservations has access to the new rates.

First go into:

7. • 60. KampSight Setup
   • 1. Types
   • F10 = Site descriptions
   • F5 = KOA.com options
   • The farthest date you can type in this field is the second to last date in your calendar.  For example, if your calendar is extended to 1/31/10, you can type 12/31/09.  If your calendar is extended to 12/31/09, The latest date you can put is 12/30/09.

STOP HERE!  Don't continue to Step 4 until January 1st or until you're ready to actually implement your new rates.

Step 4:  Backup 2008 *STANDARD rate plan

1. Located from the KampSight Main Menu, choose Option 60 "KampSight Setup", then choose option 14 "Rates".

2. In 14 "Rates", press F10.

3. Select option 1, and name plan 2008 HIST.

4. Press Enter.

5. Fill in description and dates.

6. Press Enter.

Step 5:  Copy 2009 Plan to *STANDARD

1. In 14 "Rates", press F10.

2. Select option 9 "Replace *STANDARD" next to 2009 Rate plan.

3. Press Enter.

4. Press F10 to process.  

Step 6:  Turn off 2009 Rates rate plan Auto Assign flag

1. In 14 "Rates", press F10.

2. Select option 2 "Change" next to 2009 Rates rate plan.

3. Press Enter.

4. Change Auto assign to "N".

5. Press Enter.

Step 7:  Refresh reservations to the new *STANDARD plan (after locking rates).  At this point, you may need to use the option to "Refresh Rates" but, you must thoroughly understand what this option does as well as know how you have answered KampSight setup questions related to rates.

NOTE:  If you are locking rates for the first time, have Corporate enable this feature at a predetermined time.  Most campgrounds currently have their rates locked.

The option to refresh your rates is found as follows:  From the KampSight main menu, select option 60 for KampSight setup.  Select option 14 - Rates.  Select F5=Options.  Select 5. Refresh Reservations.

Scenario You have locked rates and you would like your current reservations to keep the quoted rate.

You have reservations for the coming year with a plan name of, say, "2009 RATES".  Earlier, in step 2:  Copy 2009 Plan to *STANDARD, you chose the option to make your *STANDARD rate plan identical to your 2009 RATES rate plan.  It now makes sense to change the plan name for those reservations from "2009 RATES" to *STANDARD by filling out the options as shown below and using F10=Process.

Error

The following error message will occur if you do not follow the above steps.  It is important to follow the steps in the order presented.

The rate plan is not valid for the arrival date.
