Cable and Phone Policy Description
1. Charges for phone and cable when itemized on the campground receipt are non-royalty events. These charges may be set at any amount based on market conditions.
2. KOA Kampgrounds that use KampSight as their registration program will be allowed to “package” cable and phone charges as part of their site rate and the associated charge will not be recorded on the customers receipt as a separate charge.
3. The deduction for these charges will occur automatically on the remittance report for those campgrounds that qualify (see below) by using KampSight site criteria as described below:
a. Each site that includes cable or phone charges will be designated with a “C” (cable) or a “Q” (phone) in the site criteria. When those sites are rented, the defined cable/ phone amount will be itemized on the weekly remittance report and deducted from gross registration receipts prior to the royalty calculation.
1. Allowed deductions:
a. Daily Phone -- $2.00
b. Daily Cable -- $2.00
c. Monthly Cable -- $25.00
d. Monthly Phone – not applicable
e. If a Value Kard is used, the deductions noted above will be reduced by 10% depending on the discount provided

It is required that sites with the “C” or “Q” criteria, charge an amount equal to or more than the allowed deduction, when compared to a similar site type that does not provide the added cable or phone amenity. KOA will periodically audit the KampSight rates to ensure compliance with the cable/phone deduction policy.
1. Example: If you have full hookup sites without cable and they are priced at $20, then the bundled rate for full hookup sites with cable in the rate must be at least $22.
4. The policy is not retroactive. It starts on the effective date you set (see below).
Qualifications
5. The criteria codes C for Cable and Q for Phone have to be used. While Q for phone may seem odd, it was the only criteria code not currently in use.
6. The cable and phone charges must be packaged with all rates. Cable and phone charges cannot be separated on some sites, and packaged on others.
7. In KampSight, individual cable and phone charges are not calculated after the effective date.
How to implement
The effective date is the date the policy is set for your campground in KampSight. KampSight Support will make a change to your KampSight setup on the specified date. From the effective date forward, the new policy regarding cable and phone charges is in effect for your campground.
8. Prior to initiating the request for this program change, you must do the following:
a. Update your site’s criteria with the C and the Q. Main menu, 60, 3=Sites, 2=Change. Make sure you add a new criteria code in setup, Q=Phone. Main menu, 60, 4=Criteria, 1=Add.
b. If your base rate has always included cable and/or phone, then you do not need to change your rates. However, keep in mind that your cable/phone sites must reflect at least the $2.00 daily or $25.00 monthly (cable) additional charge to qualify for this program change.
c. If you have previously itemized cable/phone charges and now wish to bundle as part of the site fee, you will need to make changes to the base rate in Work with Rates. Keep in mind; you must increase your rates by at least the amounts set by this policy. (See example in 3c. above)
1. If you use rate plans other than *STANDARD, such as an active next year’s rate plan, they’ll have to change also.
2. This should be done on the evening before the effective date to minimize the number of reservations that could be effected during the time period between your rate changes and the policy taking effect.
3. If you have the same site type, some with cable/phone and some without cable/phone, we suggest that you create sections to separate the sites with cable/phone from the sites without cable/phone. This setup will allow you to charge the required higher rate for the sites with the cable/phone amenities. (See below for instructions on how to create new sections)

a. Sign and fax the form to KOA, Inc.
i. Instructions are on the form - fax number: (406) 255-7402.
10. KampSight Support will contact you upon receiving the signed fax.
11. They'll call to confirm they have received the fax.
12. Call KampSight Support on the date you want to go live.
13. They’ll confirm the list of sites with cable and phone according to the criteria codes C and Q.
14. They’ll confirm you have a price distinction between sites with cable/phone and without cable/phone.
15. They’ll then enable the KampSight feature to implement cable and phone packaging.
16. The effective date can be anytime on or after January 1, 2004.
17. Advanced reservations taken prior to the effective date but with arrival dates after the effective date will not pay the new rates unless you refresh your rates, follow the procedure found in KampSight Support Online. Refresh Rates Article or click on the search field and search for refresh.

How to implement new “sections” for cable/phone sites
a. Scenario: You have Full hookup/pull thru sites - 5 WITH cable and 5 WITHOUT cable. If you do not already have the cable sites in their own section, you will need to create a section to handle the sites with cable.
Step 1 - From Main menu, 60, 2=Sections, 1=Add. (If you have sites with only cable on them, create a cable section. If you have sites with only phone on them, create a phone section. If you have sites that have both cable and phone, create a cable/phone section.
Step 2 - From Main menu, 60, 3=Sites, 2=Change. Add the section to your cable/phone sites.
Step 3 - From Main menu, 60, 14=Rates, 1=Add. (Add a rate group for each section you just created, as shown below. It is not necessary to specify site. You will need to do this for each rate group on your campground.)
